This guide explains how to submit internal service requests using service tickets in Stampli.

What is a service request?

A service request is used when you need assistance from another department or team within your organization. Examples include:

  • IT equipment setup or troubleshooting

  • Facilities maintenance or room bookings

  • Office supplies or equipment allocation

  • Project resources or coordination

  • Administrative support

Step-by-step instructions

Accessing the service request form

  1. Log in to your Stampli account

  2. Navigate to "Procurement" in the left navigation menu

  3. Click "Add Request" (you may need to scroll to find this option depending on your screen size)

4. From the request type options, select "Service Request"

Filling out the service request

  1. Title: Give your request a clear, descriptive title that summarizes what you need

    • Example: "New laptop for design team hire"

    • Example: "Conference room booking for sales training"

2. Date Needed: Click the "Select date" field and choose the date by when you need the service to be completed

  • Be sure to allow reasonable time for fulfillment

  • Consider selecting a date slightly before your actual deadline to build in buffer time

3. Approver: Click the dropdown menu and select the appropriate approver for your request

  • This is typically your manager or department head

  • If you're unsure who should approve your request, consult your department policies

4. What do you need?: Describe what you need in detail

  • Be specific about quantities, models, locations, times, or other relevant specifications

  • Include any relevant context that will help the fulfiller understand your needs

  • You can attach files or links by using the attachment buttons below the text field

5. Why do you need it?: Explain the business justification for your request

  • Connect your request to business objectives or requirements

  • Provide context that helps approvers understand the importance of your request

  • Be concise but thorough in your explanation

6. Add request line: If your request has multiple components, click this button to add additional line items

  • Each line can be tracked and completed separately

  • This helps when different parts of your request might be handled by different people

7. Submit: Click the "Submit" button to send your request for approval

After submission

After submitting your service request:

  1. Approval process: Your request will be sent to the approver you selected

  2. Status tracking: You can track the status of your request from your Stampli dashboard

  3. Notifications: You'll receive email notifications when:

    • Your request is approved or rejected

    • Someone asks you a question about your request

    • Your request has been completed

Responding to questions

If the approver or fulfiller has questions about your request:

  1. You'll receive an email notification about the question

  2. Click the link in the email or navigate to the request in Stampli

  3. Read the question in the conversation panel

  4. Type your response in the text field below the question

  5. Click "Send" to submit your response

Tips for effective service requests

  • Be specific: The more details you provide, the faster your request can be fulfilled

  • Include attachments: Add screenshots, specifications, or other helpful documents

  • Set realistic timelines: Allow sufficient time for your request to be processed

  • Check for updates: Monitor your request status regularly

  • Respond promptly: Answer any questions about your request as quickly as possible
